E-Board Meeting Minutes

October 26th, 2009

Announcements:


Old Business:

Concessions Homecoming received $311.53, 10/23 received $240.01
Merchandise is still selling strong.

Saturday's Band Competition Barry Goldwater results: Superior, only band out of 24 to get this high mark.  Received all captions except visual effect.

 

What about Spring Tour?  Possibly combining Choir and Concert Band to go on tour.  Need to ask Doc Dates, Costs, Packet information.

   


New Business:

 

There was discussion on purchasing a new wagon for the Band to use at games and events.  Will look at again when budget discussed.


Need a financial statement for the Fall Festival. (City of Scottsdale)  and designated truck driver insurance info for truck transporting stuff to the festival.  Can we sell water at the festival.  Mlee will check.  Customers were asking for it last year.  Popcorn Cotton Candy and water will be sold.  Need 6-8 people to work.  Set up will start at 5:00pm on 31st.  Will load truck starting around 3:30 or 4:00pm.

Generator needed some minor repairs and is now fixed and can be used at the festival.  Need to find a new storage facility to store it.  It is currently in the Ingram's driveway and they would like it moved.  Discussion on if it could be stored in the storage room at school.  Issue with it having a gas tank and being inside.  Still trying to sell it, need to revisit.

Liability insurance for monthly booster meeting and fundraiser.  Mlee and Melinda will straighten out the dates on forms.

Collected more Booster Dues and Envelop funds.  Collected $703 just last Friday by Mlee as Melinda was on vacation.

 

Need more parents to volunteer to do set up and clean up at the concession stand.  Next year could possibly charge the parents a fee if they do not volunteer to help. 
Nov. 16th is Senior night.  Parents of seniors should not be expected to work.  Need to update CHARMS volunteer pages.  PTO/Football booster parents are not keeping their scheduled work times. Also, we cannot leave items in the concession stand after games.

James suggested a meeting with all of the groups addressing all food and merchandise sales.  Need to come to an agreement about sharing the work/load/money.  Placement of machines selling in stands, etc.  Need to include Mr. Biera.
 

Need to find someone that would be willing to donate ice for the competitions and concession stand.


Corporation Commission paperwork is taken care of. 

Still have some Alumni Band T-shirts we can sell at Senior night.
 

We had  a new nominee for e-board elections: Mlee for President.

Tomorrow is the SUSD exhibition at Saguaro.  Call time is 4:00pm.  Need to get ice and water in jugs and cups.  Keith volunteered to do.  Truck will be driven by Bob I.  Kids will load truck after school.
 

 

Fundraisers:

 

Discussion on future fundraisers.  Should we re-look at doing a car show?  How about a golf tournament?  Will revisit.

 

Need to look into T-shirts for band parents/band boosters.  Will talk to Doc.

 

We need more recipes for the Recipe book fundraiser.  Delayed till after the 1st of the year.
 

Want to plan an end of season parent party.  Could have it at Flicka's  While we are there we can talk to him about a fundraiser for next year.

 

Red and Blue envelopes will be renewed at Winter Concert.  Need to request student Govt. paperwork to sell roses and water.  Mlee will do.
