Booster Meeting Minutes

May 3, 2007

Announcements:  Thank You to Doc for chaperoning at State last month!

 

Secretary’s Report:  (As posted on the website)

Becky Ingram motioned to accept the March minutes. Kathy Hermanson seconded. Motion passed. There was no correspondence.

 

Treasurer’s Report: The Treasurer’s Report was presented. Student accounts category is in the negative. Negative balances still exist because kids have not paid for Spring Tour. Invoices have been issued, and one has paid. Ella Bristow motioned to accept the Treasurer’s Report. Kathy Hermanson seconded. Motion passed.

 

Fundraisers:

Great Video Productions: The Boosters have bowed out of helping with the flyer handout at ASU and High School Graduations. There were not enough volunteers.

 

Coupon Books:  Doc has handed out 250 Coupon Books. Some students have requested more. They must be obtained from Francine who is not here tonight.

 

Time Share: The Ingrams and the Porters have attended the Simple Fundraiser Resort presentation. It is a hard sell, but there is no obligation. We need more people to go. Fliers will go out to the students. May consider e-mail of flyer to parents, friends of students.

 

Graduation Water Sales:  Boosters will sell bottled water at Graduation on June 6, 2007. Bob Ingram, Kathy and John Komlos and Kathy Hermanson have volunteered to sell. We have 840 bottles which we will sell for $1.00 each.

 

Sodexo: Sodexo has requested our help for the fall ASU football concessions. We will not do a beverage stand, but have offered to do a food stand. It will require 6 people and we will finish at 3rd quarter. Becky will handle sign up and scheduling.

 

 

Business:

The Uniforms cleaning lady has been on vacation. Uniforms will be sent to be cleaned in July.

 

The engaving has been completed for the  David Sampson Awards for previous years’ Guard members. The award is given each year to a deserving Color Guard member in honor of a former member who lost his life in a tragic auto accident. The first award has been given out. The plaque is complete and will be displayed in the new band room. Cost was $116.00.

 

Band Camp: Band Camp is set for August 6-11, 2007 at Mingus Mountain. There will be a mini-camp held in town the week before, as follows: Monday/Tuesday Wednesday 8–11 a.m. - Freshman, Leaders, Guard, Percussion. Thursday, Friday 8-11 –Everyone.

 

Band Banquet: The Band Banquet/Awards Ceremony will be June 1, 2007, at Scottsdale Baptist Church. BACH wants to have a dinner, something more formal than dessert only. The problem is cost. We need to pay for awards so we need to charge a fee. We discussed having a Potluck and Boosters providing dessert. Doc will order awards tomorrow which will take care of this year and last year. We spent $800-900 in 2004-2005. Will check prices at Sun Devil and Scott Trophies. Doc will get an estimate on attendance to determine food cost.

 

Freshman Ice Breaker will be 6:00 pm May 16th at the band room. Students will provide snacks. Doc will get a flyer out, he had hoped to hand out Band Camp packet, but District OK has not come through. Doc will call the District tomorrow and will contact Supai. The Boosters will meet with the parents and the students will do some activities or games.

 

We are scheduled to move into the new Band Room August 1st!

 

Spring Concert will be at the LDS Church on May 17 at 7:00 pm. We will need help setting up the chairs for the band and audience area. Set up is 5 pm. Stands and percussion must be moved from school. Piano is provided.

 

Calendar: Doc will meet with the new leaders about next year’s calendar. We are not going to NAU due to cost. ASU is same day but is not a qualifying event for State and is on last day of fall break.

 

We discussed changing Booster Meeting night because Doc has personal conflict. Meetings will be the 2nd Tuesday of the month, beginning in September.

 

Becky I motioned to adjourn the meeting. Kathy H seconded. Motion passed.
